Privacy Policy
1. Introduction
TrainerMate ("we", "our", or "us") provides a personal training management platform for coaches and trainers. This Privacy Policy explains how we collect, use, store, and protect information when you use our website and application.
2. Information we collect
Depending on how you use TrainerMate, we may collect:
- Account information - name, email address, password (stored securely by our authentication provider), and role (trainer or coach).
- Profile information - professional details, contact preferences, and profile content you choose to add.
- Client and training data - client profiles, workout plans, session notes, calendar events, progress metrics, and related files you upload or generate in the app.
- Usage and technical data - device/browser information, approximate location derived from IP, and logs needed to operate and secure the service.
3. How we use your information
- Provide, maintain, and improve TrainerMate features
- Authenticate users and protect accounts
- Enable client management, scheduling, sharing, and AI-assisted planning tools
- Respond to support requests and communicate service updates
- Detect, prevent, and investigate fraud, abuse, or security issues
- Comply with legal obligations
4. Sharing of information
We do not sell your personal information. We may share data only in these cases:
- With your direction - for example when you connect with a trainer/coach or share client progress through in-app share features.
- Service providers - trusted vendors that help us host, authenticate, store, or process data (such as cloud infrastructure and AI providers), under appropriate confidentiality and security obligations.
- Legal requirements - when required by law, regulation, or valid legal process, or to protect the rights and safety of users and TrainerMate.
5. Data storage and security
We use industry-standard safeguards to protect your information, including encrypted transport (HTTPS) and access controls. No method of transmission or storage is completely secure; if you believe your account has been compromised, contact us immediately at trainermate.app@gmail.com.
6. Data retention
We retain account and training data for as long as your account remains active, or as needed to provide the service and meet legal obligations. You may request deletion of your account and associated personal data by contacting us.
7. Your rights
Depending on your location, you may have rights to access, correct, export, or delete your personal information, and to object to or restrict certain processing. To exercise these rights, email trainermate.app@gmail.com.
8. Google Calendar and Google API user data
TrainerMate offers an optional Google Calendar connection so Personal Trainers and Trainees can add their TrainerMate sessions to Google Calendar. When you connect, we request the narrowest Calendar permission available (https://www.googleapis.com/auth/calendar.app.created), which only lets TrainerMate create one secondary calendar named “TrainerMate” in your Google account and manage the events on it. We also request your Google account email address (openid, email) so we can show you which Google account is connected. We cannot see, read, or change your primary calendar or any other calendar.
- Data accessed - only on the TrainerMate calendar: the calendar's id, and the titles, times, descriptions/notes and ids of the session events TrainerMate creates there. Plus the email address of the Google account you choose to connect.
- How we use it - to add, update and remove your TrainerMate sessions on the TrainerMate calendar when you book, edit or delete them in the app. This is a one-way push: we do not import or read other Google Calendar events into TrainerMate. Google user data is never used for advertising, never sold, never used to build profiles unrelated to this feature, and never used to train AI or machine-learning models.
- Storage - to keep the connection active after you log out and on your other devices, we store an OAuth refresh token, the connected Google account email and the TrainerMate calendar id on our servers (Google Firebase / Cloud Firestore), in a location that only our server can access and never shown to other users. Short-lived access tokens may be cached in your browser and are cleared when you log out. We never receive or store your Google password.
- Separate from your login - the Google account you connect for Calendar can be different from the account or email you use to log in to TrainerMate. Connecting or switching the Calendar account never changes your TrainerMate login.
- Human access - our staff do not read your Google Calendar data, except with your explicit consent (for example, to help with a support request), when needed for security purposes such as investigating abuse, or to comply with applicable law.
- Sharing - Google user data is not sold and is not transferred to third parties, except to Google itself when calling its Calendar APIs, to our hosting providers strictly to operate this feature, or when required by law.
- Retention and deletion - we keep the connection data only while your Google Calendar is connected. When you tap Disconnect in TrainerMate, we revoke TrainerMate's access with Google and delete the stored refresh token and connection details. If you delete your TrainerMate account, the connection data is deleted too. The “TrainerMate” calendar and its events stay in your Google account until you delete them there.
- Revoking access - besides Disconnect in TrainerMate, you can revoke TrainerMate's access at any time in your Google Account permissions; TrainerMate then shows Google Calendar as disconnected.
TrainerMate's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
9. Children's privacy
TrainerMate is intended for adults who manage personal training businesses. We do not knowingly collect personal information from children under 16. If you believe a child has provided us data, please contact us so we can delete it.
10. Changes to this policy
We may update this Privacy Policy from time to time. We will post the revised version on this page and update the "Last updated" date. Continued use of TrainerMate after changes means you accept the updated policy.
